The Problem With "Tracking Everything"

When everything seems important, nothing is truly a priority. Effective managers track the right metrics — the ones that reflect actual business health and guide decisions.

1. Monthly Recurring Revenue (MRR)

For subscription businesses, the most fundamental indicator. Track new MRR, expansion MRR, and churned MRR to understand the composition of growth.

2. Customer Acquisition Cost (CAC)

Sum all marketing and sales costs for a period, divide by new customers. CAC growing without proportional LTV increase is a warning sign.

3. Lifetime Value (LTV)

For subscriptions: LTV = average monthly ticket divided by monthly churn rate. LTV/CAC below 3:1 means you are spending too much to acquire customers who do not stay long enough.

4. Churn Rate

For SaaS, monthly churn below 2% is healthy. Above 5% is a structural problem. Also check revenue churn — if the largest customers are leaving, the impact is much greater than headcount suggests.

5. Contribution Margin by Product

Revenue minus variable direct costs. Reveals which products actually contribute to covering fixed costs. The highest-volume product is often not the most profitable one.

6. Days Sales Outstanding (DSO)

Average time to receive payment after invoicing. Even profitable companies fail from cash flow problems — DSO is the leading liquidity risk indicator.

7. Net Promoter Score (NPS)

A predictor of organic growth. Companies with high NPS grow more through referral; those with low NPS spend more on acquisition to compensate.

8. Conversion Rate by Funnel Stage

Knowing proposal-to-close conversion dropped from 30% to 18% directs investigation far more efficiently than simply noting that "sales dropped."

Conclusion

Metrics exist to generate better decisions. Choose indicators that make sense for your business model and use them actively to ask "why is this changing?" every time a number moves significantly.
